CIVOXY AI Systems (“the Company”, “we”, “us”) provides professional digital services including, but not limited to:
All services are delivered in accordance with a mutually agreed scope of work (“Project Scope”) confirmed prior to commencement.
The client agrees to: provide accurate and complete information; supply all required assets (logos, content, images) in a timely manner; provide prompt feedback and approvals; and ensure all content supplied is lawfully owned or licensed by the client.
To the fullest extent permitted by law, CIVOXY AI Systems shall not be liable for: loss of revenue, profit, data, or business opportunities; indirect or consequential damages; third-party service failures (hosting, payment providers, APIs); or any damages arising from the client’s use or misuse of delivered work. The Company’s total liability shall not exceed the amount paid by the client for the specific service in question.
AI-powered features (chatbots, receptionists, automation) are provided “as is”. While the Company endeavours to ensure accuracy and reliability, AI responses may occasionally be incorrect or incomplete. The Company does not warrant that AI systems will be error-free or uninterrupted. Clients are responsible for reviewing AI output before relying on it for business decisions.
This agreement is governed by the laws of the Republic of South Africa. Any disputes shall be resolved in accordance with South African law and within the jurisdiction of South African courts. The parties agree to attempt good-faith resolution before initiating formal proceedings.
CIVOXY AI Systems is committed to protecting your personal information in accordance with the Protection of Personal Information Act, 4 of 2013 (POPIA) of the Republic of South Africa.
We process your personal information solely for the following lawful purposes:
We process your data on the basis of: contractual necessity (to deliver our services), your consent (for marketing communications, which you may withdraw at any time), and legitimate interest (for business administration and security).
We implement reasonable technical and organisational measures to protect your personal information against unauthorised access, loss, or misuse. All admin data stored on this platform is encrypted using AES-256-GCM encryption. However, no system can guarantee absolute security.
We may use the following third-party services: Firebase (data storage), EmailJS (email notifications), Google Analytics, and payment providers. Each operates under its own privacy policy. We only share the minimum data necessary for service delivery.
We do not sell, rent, or trade your personal data. Personal information is only shared with third parties where strictly necessary for service delivery or where required by law.

The preferred payment method will be confirmed during the initial consultation. All prices are quoted in South African Rand (ZAR) and are inclusive of any applicable fees unless stated otherwise.
Invoices are due on the date specified. Late payments may result in: suspension of services; withholding of deliverables; and/or a late payment fee of 2% per month on outstanding amounts, compounded monthly, as permitted under the National Credit Act.
All deliverables remain the sole property of CIVOXY AI Systems until full and final payment is received. Upon full payment, all agreed IP rights transfer to the client as specified in the project agreement.
CIVOXY AI Systems is a registered business. All quoted prices are inclusive of VAT where applicable. A valid tax invoice will be issued upon request or as required by South African tax law.
By engaging with CIVOXY AI Systems — whether through this website, direct communication, or by proceeding with payment — you confirm that you:
In the event of a dispute, the parties agree to attempt good-faith resolution via email within 14 days before pursuing formal proceedings. Unresolved disputes shall be referred to mediation or, if necessary, the jurisdiction of South African courts.
Clients who are consumers as defined under the Consumer Protection Act, 68 of 2008 (CPA) retain all rights afforded to them by the CPA, which cannot be waived by these Terms. This includes the right to receive services of acceptable quality and the right to fair, honest dealing.
CIVOXY AI Systems processes personal information in compliance with the Protection of Personal Information Act, 4 of 2013. Complaints relating to personal information may be directed to the Information Regulator of South Africa at inforeg.org.za or inforeg@justice.gov.za.
